This Privacy Policy applies between you, the User of this Website, and Host Hobbit Ltd, the owner and provider of this Website. Host Hobbit Ltd takes the privacy of your information very seriously. This Privacy Policy applies to our use of any and all Data collected by us or provided by you in relation to your use of the Website.

Our client area

If we give you a login to our client area (hosthobbit.com/portal/), you can use it to send us files and the login details we need to work on your website, hosting or email. This section explains how we handle that information.

  • What we hold: your name, username and (if you give it) email address; a secure one-way hash of your password (we can't see your password); the files you upload and any notes with them; the login details you send us (what they are for, the website address, username, password and notes); and a record of activity on your account (sign-ins, uploads, downloads and changes, with the date, time and IP address).
  • Why: only to carry out the work you've asked us to do, to keep your information secure, and to spot misuse. We never use it for marketing and never sell or share it, except where the law requires us to.
  • Who can see it: only you and Host Hobbit. Each customer can only see their own files and login details.
  • How it's protected: files and login details are encrypted as soon as they reach us (AES-256), and stored on our hosting outside the public website. The client area only works over a secure (https) connection, signs you out after a period of inactivity, and temporarily blocks sign-in after repeated wrong passwords.
  • Email alerts: when you upload a file or send login details, we get an email telling us so. The email never contains the file or the details themselves.
  • How long we keep it: until you delete it, ask us to delete it, or your client area account is closed. You can delete your own files and login details at any time. Once we've finished the work we needed login details for, please change those passwords: that's good practice whoever you've shared them with.
  • Please don't send: bank, card or payment details through the client area.
  • Cookies: the client area uses one strictly necessary cookie to keep you signed in. It is deleted when you close your browser or sign out.

Your rights over this information are the same as for any other data we hold (see "Your Rights" below). To ask about or delete anything in your client area, email info@hosthobbit.com.

WhatsApp and our AI assistant

If you message us on WhatsApp, the first replies come from an AI assistant that we operate (see AI-assisted support in our Terms and Conditions). This section explains what happens to your information when you do.

  • What we hold: your WhatsApp name and phone number; the messages, photos, screenshots and files you send us; the assistant's replies; and a record of any checks or changes made to your services as a result (what was done, when, and what you confirmed).
  • Why, and our legal basis: to answer your questions and carry out the support you ask for (performance of our contract with you, or steps you've asked us to take before one); and to keep a record of what was changed and why, check the quality of our support, and deal with any complaint (our legitimate interests in running a reliable, accountable service).
  • Who processes it for us: WhatsApp (WhatsApp LLC, part of Meta) carries the messages; and a third-party AI provider processes the content of your conversation so the assistant can understand it and reply. They act on our instructions under their business terms. Some of this processing may happen outside the UK, including in the United States; where it does, we rely on the safeguards the provider offers for UK data, such as the UK International Data Transfer Addendum or the UK Extension to the EU-US Data Privacy Framework.
  • No decisions about you by AI alone: the assistant helps with technical support. It does not make decisions that have legal or similarly significant effects on you, such as about your contract, billing or account status; those are made by a person.
  • Training: we don't use your messages to train AI models.
  • How long we keep it: for as long as we need it to support you and deal with any follow-up, and no longer than 2 years after your last message, unless we have to keep it longer for legal, tax or accounting reasons or to deal with a dispute. Records of changes made to your services are kept for the life of your account.
  • Please don't send: passwords, bank or card details, or other sensitive personal information (for example about health) in WhatsApp messages. Use our client area for login details.
  • Prefer not to use AI? Just say so, or phone or email us instead, and a person will deal with your request.
